What this policy covers

This policy explains how we collect and use personal information when you visit Hi-Fly.click, create an account, join or express interest in a passenger demand pool, contact us, or use services made available through the website.

Hi-Fly’s current demand pools record interest in proposed routes. Joining a pool is not, by itself, a confirmed flight reservation, ticket purchase or guarantee that a flight will operate.

Information we collect

Depending on how you use the website, we may collect:

  • account information, such as your name, username, email address and encrypted password credentials;
  • contact information, such as your email address and telephone number;
  • demand-pool information, including routes, preferred travel dates, passenger numbers and your pool participation;
  • information you provide in forms, correspondence or support requests;
  • transaction, billing and order information if paid services are introduced or used;
  • technical and security information, such as IP address, browser type, device information, timestamps, cookies, error records and correlation identifiers;
  • marketing preferences and consent records; and
  • any other information you choose to provide.

Please do not provide passport details or other identity documents unless a clearly identified service requires them and we specifically request them through an appropriate secure process.

How and why we use information

We may use personal information to:

  • create and administer passenger accounts;
  • record, display and manage participation in demand pools;
  • calculate aggregated passenger demand and pool progress;
  • notify participants about material pool developments;
  • alert selected charter operators, airlines, aircraft lessors or other aviation partners when a pool reaches an appropriate threshold;
  • request and evaluate potential transport proposals;
  • respond to enquiries and provide support;
  • process orders or payments where applicable;
  • operate, secure, diagnose and improve the website;
  • prevent fraud, misuse and unauthorised access; and
  • comply with legal and regulatory obligations.

Our lawful bases

Under UK data-protection law, we rely on one or more lawful bases depending on the activity:

  • Contract: where processing is necessary to provide a service you request or to take steps at your request before entering a contract.
  • Legitimate interests: to operate and secure Hi-Fly, manage demand pools, understand aggregate demand, improve our services and communicate about the service, where those interests are not overridden by your rights.
  • Consent: where we ask for permission, including for optional direct marketing or non-essential cookies where required. You may withdraw consent at any time.
  • Legal obligation: where we must process information to meet legal, accounting, tax, fraud-prevention or regulatory requirements.

Demand pools and aviation partners

Public pool pages are intended to show aggregated demand, such as a route, passenger total, target and progress percentage. We do not intend to display participants’ names, contact details or account information publicly.

When a pool reaches a relevant threshold, we may share aggregated or operational demand information with selected charter companies, airlines, aircraft lessors, brokers or other aviation service providers so that they can consider providing a proposal. We will not provide individual passenger contact details to such organisations unless this is necessary for a clearly explained service and we have an appropriate lawful basis.

A transport provider may have its own privacy policy and may become an independent controller of information it receives when you choose to proceed with its service.

Who we share information with

We may share information only where reasonably necessary with:

  • website hosting, email, security, analytics and technical-support providers;
  • WordPress, WooCommerce and other service providers used to operate website features;
  • payment providers, if and when a payment is made available;
  • selected aviation partners as described above;
  • professional advisers, insurers, auditors and potential business-transaction advisers; and
  • courts, regulators, law-enforcement bodies or other parties where required by law or necessary to protect legal rights.

We do not sell personal information.

Cookies and similar technologies

Hi-Fly.click may use essential cookies to provide account, session, security and shopping functionality. We may also use analytics, preference or marketing technologies where permitted. Where the law requires consent, non-essential cookies should not be set until that consent is obtained. Browser controls may also allow you to delete or block cookies, although some website functions may then stop working properly.

International transfers

Some service providers or aviation partners may process information outside the United Kingdom. Where UK data-protection law applies, we will use an approved transfer mechanism or another lawful safeguard when required, and consider appropriate supplementary protections.

How long we keep information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including account administration, pool management, security, dispute resolution and legal, tax or accounting requirements. Retention periods vary according to the type of record and applicable obligations. Information may be anonymised when identifiable data is no longer required.

Security

We use reasonable technical and organisational measures designed to protect personal information. However, no internet service is completely secure. You are responsible for keeping your account credentials confidential and should contact us if you suspect unauthorised account use.

Your rights

Subject to applicable law, you may have rights to:

  • request access to your personal information;
  • ask us to correct inaccurate or incomplete information;
  • request deletion or restriction of processing;
  • object to certain processing, including direct marketing;
  • request transfer of information in certain circumstances;
  • withdraw consent where processing relies on consent; and
  • complain to a data-protection authority.

To exercise a right, contact biggates@biggates.tech. We may need to verify your identity before responding.

You may also complain to the UK Information Commissioner’s Office. Information is available at ico.org.uk/make-a-complaint.

Children

Hi-Fly is not intended for children to create accounts or join pools independently. A parent or legal guardian should act for a child where a service permits children to participate. We will provide more specific requirements before collecting passport, identity or travel-document information for any passenger.

Third-party links and embedded content

The website may link to or embed content from other websites. Those organisations control their own services and privacy practices. Please read their privacy notices before providing information to them.

Changes to this policy

We may update this policy when our services, providers, corporate structure or legal obligations change. The current version will be posted on this page with its effective date.

Effective date: 6 August 2026
